Build the registration form
Name, email and the yes-or-no choice are always on the form. Everything else is yours to design — and the questions you ask now are the answers you will have on the day.
What is always there
Every registration form already asks for a name, an email address and the attend or decline choice. You cannot remove these and you do not need to add them — they are what makes the guest list work.
Adding your own questions
The question types sit in a palette on the side. Drag one into the form, or tap it to add it at the end. Then write the question text, and set whether an answer is required.
Question types
- Short text — one line. Song request, company name, allergy in a word.
- Long text — a paragraph. "Anything else we should know?"
- Single choice — pick one. Bus or own car, Friday or Saturday, chicken or fish.
- Multiple choice — pick several. Which days they are coming, which sessions they want.
Content blocks
Three block types add information rather than asking for it, and appear inline in the form:
- Text block — a note or a heading between questions.
- Image — a map, a menu, a photo.
- YouTube video — a welcome message or directions.
Choice questions in detail
A choice question needs answer options. Add them one at a time. A choice question with no options is hidden from guests entirely — the editor warns you about this, and it is the single most common reason a question "does not appear".
Turn on "Guest can type details" to add a free-text box to an option, which is how you handle "something else — what?" without writing a second question.
The dietary question
Food answers are the most useful thing on the form and the most sensitive. A dietary restriction can reveal a health condition or a religion, which European law treats as a special category of personal data. Invitatum therefore does three things for you: it prints a fixed purpose note under the question ("used only for catering"), it includes the answers in the automatic retention purge, and it keeps them out of the parts of the caterer's list that carry contact details.
Insert the ready-made dietary question from the palette rather than writing your own — the caterer's list looks for it by name.
Questions are asked only from guests who accept. Someone who declines answers nothing beyond the decline itself, which is the polite way round. Answers then appear on the Participants tab, one column per question.
Saving
Press Save form. Any question missing its text is highlighted and blocks the save. If you try to leave with unsaved edits, Invitatum asks whether to save, discard or keep editing — an Unsaved changes tag warns you before that point.
